MISSION STATEMENT

To manage the annual election of Board of Directors members on behalf of HHHOA by recruiting candidates, planning and conducting all pre-election activities, conducting all elections and /or required votes, in a fair and non-biased fashion following all HHHOA By-Laws.

MEMBERSHIP

The Elections committee shall not exceed 9 members.  A member of the Board shall act as the liaison to the committee.  The Chair will select the membership of the committee subject to the Board's approval.

DUTIES AND RESPONSIBILITIES:

1.     Conduct election of new Board of Directors (BOD) members

2.     Identify and solicit individuals to serve as candidates for the BOD

3.     Develop and implement meetings and methods for introducing candidates to all HHHOA members

4.     Utilize HH website and Highlander for candidate information, resumes and election information

5.     Determine ways to improve voter turnout and increase voting participation

6.     Prepare and distribute ballots for election; monitor legitimacy of election; secure ballot box; conduct organized and timely distribution and receipt of ballots

7.     Secure completed and returned ballots

8.     Count and verify all ballots

9.     Notify Board Liaison of results so he/she may (1) notify BOD; (2) notify all candidates; (3) post all results in clubhouse and on website

10. Annually review standing rules for the elections and Election Committee members

11. Review and continuously update and revise all working dates for BOD election and any other votes as may be determined by the BOD

12. Review Election Committee functions and responsibilities at end of current term.  Recommend any needed changes to improve the process for next year

13. Collect, process and distribute to the appropriate committee chairs, the submitted Volunteer Forms for committee vacancies and conduct follow-up on each form for a monthly BOD status report.
