Chelsea Tee Time Reservations Information

Welcome to Heritage Highlands Golf & Country Club!  We are glad to have you with us and would like to introduce you to our tee time reservation system.  The Chelsea system is a fully automated system designed for fairness and equity at golf courses with very high demand.  The system is extremely user-friendly, and instructions for use are included in this packet. 

The following are some highlights about usage of the reservation system: 

> Every resident is assigned a Chelsea member number called a captain number. Your captain number is the last five (5) digits of your phone number, plus a "1" at the end if you are male, or a "2" at the end if you are female, for a total of six (6) digits.  Stop by the Golf Shop to have your captain number activated in the system.  You will not be able to access the system until you have been entered into Chelsea.   

> All tee time requests and bookings can be confirmed either via the phone service or email.  You may enter your email address into Chelsea in the Internet package or the golf staff can assist you.

> You may request a tee time up to fourteen (14) days in advance by phoning 579-0172 or by Internet.  At this time you will be issued a confirmation number.  Please note:  the confirmation number confirms your request in the system; it does not guarantee a tee time

> Be sure to write down your confirmation number as it has multiple purposes:

1) confirm your request 
2) edit a request      
3) edit a booking 
4) cancel a request                  
5) cancel a booking 
6) review your requests or bookings

> The Chelsea system will ask you to give time parameters when you make a request.  Responding with a "no" when asked if you would like to set the "earlier or later parameters" will open up the entire day for you as a tee time option.  You may elect to give the system a time window in which you could play.  We offer a wide range of tee time starts depending on events and season.  See the Golf Shop for tee schedules.

> Five (5) days prior to the requested tee time date the system will prioritize and place tee time requests.  All tee time requests are prioritized based on the cumulative point average of the group making the request.  The greater the points average of your group at the time of placement the lower your priority ranking.

> Tee time priority is as follows:

  • HH sanctioned golf leagues have priority on specific days of the week.
  • All HH resident golfers are assessed points for play as follows:
    • Eagle Member                      .30 points
    • Birdie Member                      .50 points
    • Par and Par 9 Member        .80 points
    • Resident Daily Fee golfer   1.0 points
  • Priority for all regular daily play is prioritized by group average points; the less the group has played in the previous fourteen days the higher priority they receive at time of placement.

> 2 points for a "no show"

> All points are carried and totaled for fourteen (14) days.    

> At the time of placement, Chelsea will evaluate your points for the past fourteen (14) days and rank your group

> Guests: You may enter up to three (3) guests in any request.  Simply enter your captain number for each guest.  During the prioritization process your guests will each be assigned your individual point total and will become part of the equation. 

> You may link up to eight (8) foursomes to play together; follow the prompts in the request process.  All players in your player-pool will be included in the points equation.  Each player's points will be combined to arrive at a group average for prioritizing.

> You are not permitted to create tee time requests or bookings using fictitious players' numbers or names, fictitious guest players, or someone else's player number, knowing they will not be able to play; please make all requests and bookings accurately.  Heritage Highland's professional staff will address abuse of the Chelsea Tee Time reservation system.

> You may edit or cancel your requests by phoning the Chelsea reservation line or via the Internet up to the placement date which is five (5) days prior to the date of play.  Once the request is placed and becomes a booking you may edit or cancel your bookings by phoning the reservations line or via the Internet prior to 12:00 noon the day before the play date.  Your confirmation number is required for access to your request or booking file.

> Sign-ups for HHWGA, HHMGA, HH Lady Niners, and HHCGA weekly events are done through Chelsea; see instructions and select the "event" option in the request process.  Player pairings are posted on the HH website the afternoon prior to the event. 

> You may request to have your captain number inactivated or deleted if you are going to be away or no longer play golf at Heritage Highlands.

> All golfers must register in the Golf Shop at least ten (10) minutes prior the scheduled tee time or they will be subject to losing their starting times.  Golfers are responsible for the payment of all golf fees.

Chelsea Phone System Instructions

Requests for tee times will be accepted fourteen (14) days prior to play.  Times will be placed five (5) days prior to play after 3:00 pm.  When making a time for a guest, enter your member number again.

Dial 579-0172.  The system will respond "Welcome to Heritage Highlands Golf & Country Club's automated tee time reservation system�"

MENU

Press 1 to make a tee time request (6 - 14 days prior to play date)

Press 2 to review requests or bookings

Press 3 to cancel a request

Press 4 to edit a request

Press 5 to make a booking (1 - 5 days prior to play date)

Press 6 to cancel a booking

Press 7 to edit a booking

Press 8 to review club messages or name greeting

Press 9 to exit the system

Please note:  A tee time request does not confirm a tee time.  Tee times are confirmed once placement is complete five days prior to play date. 

Internet Procedures

1)                  Click on the link to Web Tee Times listed as a menu item in the Heritage Highlands website (heritagehighlands.com).

2)                  You should now be in the Chelsea site for tee times at Heritage Highlands, and should see a prompt for your member # (captain number, or last 5 digits of phone number plus a "1" at the end for male or a "2" for female) and your password.  All members have been issued an opening password of 1234.  Enter your member number and password and select LOGIN GOLF.

3)                  The next screen you see will allow you to update your profile.  You MUST change your password to a new FOUR DIGIT password.  If you do not, the system will not allow you to proceed further. 

4)                  You may also enter your email address at this point, as well as some other non-required information.

5)                  Select Update Profile.

6)                  At this point you need to back completely out of the Internet. 

7)                  Re-enter the Web Tee Time link in the HH website and follow the prompts.  Once you are in the tee time website and have logged in using your member number and NEW password, you will be taken to a WELCOME screen.  At the top of this screen is a banner that includes

MAIN              REQUEST       REVIEW         BOOKING      PROFILE

8)                  Select whatever option you like and follow the prompts.  You will find that you are able to conduct all kinds of procedures, including making requests, bookings, edits, cancellations, view a tee sheet, view your tee times and requests, and view your friend's tee times and requests.

9)                  Please note:  You will not be able to make any edits or cancels to yours or your friend's times or requests without the confirmation number.  If you misplace your confirmation number you will need to ask a buddy or contact the golf staff.

10)              Also, if you do not begin receiving email notifications after entering your email address you will need to enter your profile in the Internet package and change the email option from HTML to TEXT or visa versa.  Additionally, if you get all set up and the banner that offers the options of MAIN, REQUEST, REVIEW, BOOKING, and PROFILE is not active then you may have to change some settings in your computer; please contact the golf staff if you continue having difficulty.
